Payroll and Benefits Specialist

SUMMARY:

Primary responsibilities include payroll and benefits administration for Mid-Ohio Food Collective to include payroll processing and compliance, leave and disability management, and benefits administration including enrollment, implementation, and facilitation of benefit plans for all Mid-Ohio Food Collective team members.


PRIMARY DUTIES:

Payroll

  • Processes payroll for hourly, salaried, and temporary employees; including reviewing timesheets, entering tax and direct deposit information, administering regulatory requirements, e.g., garnishments, tax levies, and support orders, and other adjustments to pay as necessary
  • Reviews payroll and timekeeping for accuracy and compliance with federal, state, sand local laws.
  • Implements and maintains payroll best practices to improve efficiency and consult with human resources team to improve payroll and HRIS processes.
  • Administers the time and attendance policy and paid leave policy for all employees
  • Produces scheduled and ad-hoc reports pertaining to payroll and human resources requirements.
  • Assists with audits to ensure all payroll records are accurate and complete
  • Partners with Finance to ensure payroll activity is properly recorded to general ledger.
  • Prepares and maintains written procedures for payroll and benefits processes

Benefits

  • Administers all employee benefit programs including enrollments and terminations
  • Assists with new employee onboarding to ensure employees gain an understanding of benefit plans and enrollment provisions.
  • Fulfills all governmental regulatory mandates and ensures filings are performed as required
  • Plans and administers annual open enrollment period. This includes preparation (or revision) and distribution of materials, conducting meetings to communicate changes to employees, arranging for on-site representation by providers, and processing changes within deadlines.
  • Assists with audits to ensure all enrollments are accurate and that dependent information is correct for each employee
  • Works closely with Finance for quarterly and year end audits (payroll, 401k, etc.)
  • Addresses benefit inquiries to ensure timely and accurate resolutions. Maintains contact with employees and beneficiaries to facilitate proper and complete utilization of benefits for all employees
  • Processes monthly billings from providers. Reviews billings for accuracy and approves for payment in a timely manner. Resolves discrepancies timely.
  • Coordinates with Benefit Broker to ensure best benefit plans are provided to employees
  • Coordinates with providers to manage disability claims
  • Oversees COBRA vendor relationship and ensures COBRA information is sent to necessary recipients.

Human Resources Information System

  • Maintains employee personnel files, records, and other documentation for employees, including processing new employees, forms for employment status changes and maintaining timely and accurate files.
  • Setup new employees including but not limited to onboarding preparation, I-9 verification, position setup, and benefit enrollment to ensures proper receipt and processing of pre-employment paperwork.
  • Train users on payroll and benefits software.
  • Prepares reports from the HRIS involving payroll information, performance management, demographic data, and other employee data, requiring knowledge of the various Human Resources disciplines.
  • Generates files/reports such as the EEO1, annual non-discrimination testing for benefits plans, annual reports, as well as other special and ad hoc reports as requested.
  • Recommends business process improvements having an HRIS component
  • Performs other related duties as required or assigned.

EDUCATION & EXPERIENCE:

Education and Certifications: High School diploma or GED required, Bachelor's Degree in Finance or Accounting preferred. Certified Payroll Professional designation preferred. PHR or SHRM-CP certification preferred.

Experience: Work experience should include knowledge of basic human resources, payroll practices, benefits administration, and compliance or other related experience. At least 5+ years of experience administering payroll, working within a HRIS and overseeing benefits processes required. Experience with Paylocity or similar payroll and HRIS systems required. Prior experience in garnishments and related laws required. Experience with benefits renewal, enrollment, and customer service required. Strong knowledge of benefit plans, leave management, and disability management experience required.

Strong ability to stay organized, while possessing a high attention to detail. Ability to work effectively and efficiently both independently and in a team environment. Ability to maintain confidentiality. Excellent customer service skills with the ability to respond quickly and accurately to requests. Excellent demonstrated computer proficiency in Microsoft Office software including Word, Excel and Outlook. Strong verbal, written, and analytical skills. Effective at problem solving and demonstrated critical thinking skills.
